HQ Inspection Suite
This page summarises the practical security approach for HQ Inspection Suite workspaces and connected workflows.
Last updated: 27 October 2026Access is controlled by sign-in and workspace permissions. Company employee access can be managed from the employee setup area where enabled.
Users should keep login details secure, use appropriate device security and remove access for people who no longer need the workspace.
Workspace data can include job registers, reports, photos, templates, clients, equipment, certificates, experience records, company profile details and commercial records.
Uploaded images and files should be treated as business records. Do not upload client data unless you have permission to store and process it.
Connected integrations should use the minimum permissions needed for the feature. Xero is used for accounting workflows, while Dropbox can hold company job photos, documents and completed PDFs when connected.
Microsoft and Google connection areas may be prepared in the interface before full mailbox, calendar or drive permissions are enabled.
Use exports or company backups where you need an independent copy of important records.
Report data, AI outputs and commercial calculations should be checked before being issued to clients or relied on for compliance decisions.
