HQ Inspection Suite
This policy explains what the HQ Inspection Suite Android app and connected services collect, and how workspace, report, image and account data is handled.
Last updated: 27 October 2026For privacy questions and requests, email hqinspectionsuite@gmail.com. Do not include passwords, access tokens or confidential inspection files.
Starting with app versions that support this reporting, the app sends platform, cumulative daily foreground time by feature and PAUT Analyse-button counts to HQ Inspection Suite. A random installation identifier provides a register number. Guest use remains anonymous. After a customer signs in, the server verifies the account and records new signed-in time separately, with the verified email address beside the installation number in the administrator register. Earlier guest time is not assigned to that account. HQ NDT employees and known staff devices are excluded.
Only verified HQ site administrators can view this register for analytics, feature improvements and product support. No scan files, filenames, prompts, chat content or saved local records are included. Time pauses in the background. Reports are queued on the device and synchronised when the service is available. A different device or reinstallation can receive a new number.
For logged-out visitors to the HQ Inspection Suite landing page, we record an anonymous visit ID, arrival time, approximate active viewing time, general device/browser category and referral hostname. We do not store names, emails, raw IP addresses, referral query strings or persistent tracking cookies for this feature. Signed-in visits, known bots and browser Do Not Track / Global Privacy Control opt-outs are excluded.
Traffic records are visible only to verified site administrators and expire after 90 days. Active time pauses in hidden or unfocused tabs and after 90 seconds without interaction, and is capped at one hour per visit. A daily salted network hash is used solely for abuse limits and removed within two days. This is a visit count, not a count of identifiable or unique people.
HQ Inspection Suite and connected services may store account details, company profile details, job records, client records, report templates, inspection reports, uploaded images, certificates, experience logs, commercial records and connected-service status.
When you sign in, authentication details are handled by the configured authentication provider. The app stores the workspace data needed to provide job, reporting, image and commercial workflows.
Workspace data is used to operate the app, generate reports, keep job folders organised, support AI-assisted review features, calculate commercial records and connect approved accounting workflows.
AI-assisted features are review aids. Outputs must be checked by a competent person before being used for inspection decisions, reports or client communication.
If you connect Xero, the connected HQ Inspection Suite service uses the authorised connection to create or support accounting records such as draft invoices. If you connect Dropbox, the service can access the nominated company folder to store and retrieve job photos, documents and completed PDFs. Each integration is limited by the permissions approved during connection.
Where AI features are used, relevant input may be sent to the configured AI service to generate a response or analysis result. Do not upload information you are not authorised to process.
You can request deletion of your account and associated personal data by emailing hqinspectionsuite@gmail.com using the instructions at /account-deletion. Requests are normally completed within 30 days after the signed-in account is verified.
Authentication, personal workspace data, certificates, study progress, preferences and saved app connection credentials are included. Company-owned jobs, messages, issued reports, financial records, safety records and audit evidence may be transferred, de-identified or retained when law, contract, safety or accreditation obligations require it. Data already held independently by Dropbox, Google or Xero remains controlled through those services.
You are responsible for confirming that stored job, client, report, image and rate information is accurate and appropriate for your business requirements.
